Ministry Assistant

Reports To: Lead Pastor
Status: Full Time (40 hours per week)

The Ministry Assistant helps ensure the smooth operation of the church and supports the ministries and mission of the church. Work Schedule  

  • A typical workweek will be Monday through Thursday from 9am-5pm (hours can be shifted based on the needs of the applicant). Remaining hours will be fulfilled on Sunday morning and at times throughout the week to accommodate occasional evening meetings and weekend events.
  • Work will be done on site in the church office; occasional flexibility for working remotely may be approved with advance notice.

 

Qualifications  

  • Willing to become a regular attender of Calvary Church.
  • Maintain an active personal relationship with God through practice of spiritual disciplines (scripture reading, prayer, worship, Sunday morning church attendance).
  • Personal alignment with the doctrine, mission, and values of Calvary Church.
  • Exhibit emotional, mental, and relational health with peers and co-workers.
  • High proficiency with modern tech ecosystems, including Church Management Software (ChMS), Canva, and major social media dashboards. 
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.  
  • Ability to manage multiple tasks, set priorities, and meet deadlines.  
  • Professional, courteous, and welcoming demeanor with staff, congregation, and visitors.
  • Exhibit a humble, servant heart attitude in all things.

 

Primary Responsibilities  

  1. Administrative Support to the Pastor(s) and Staff 
  • Assist with preparation of correspondence, reports, and documents as needed.  
  • Help coordinate meetings (scheduling, reminders, basic setup, and materials). 
  1. Digital Presence & Community Engagement
  • Design Requirements: Familiarity with modern design ecosystems like Canva Pro and/or Adobe Creative Suite (Photoshop, Illustrator). Candidates who are eager to develop these skills through on-the-job training are encouraged to apply.
  • Graphic Design Production: Serve as the primary graphic designer for the church, creating all digital sermon art, social media assets, slide templates, print flyers, and event graphics consistent with brand identity.
  • Brand Strategy & Social Media: Design, schedule, and execute the church’s weekly digital content footprint across social media platforms (Instagram, Facebook, YouTube, etc.) to drive community engagement.
  • Baseline Video Storytelling: Capture and edit simple, engaging video content for Sunday morning announcements, sermon clips (reels/shorts), and testimony stories. You should possess a baseline knowledge of entry-level editing software (such as Adobe Premiere Rush, iMovie, or Final Cut Pro). If you are not a video expert yet, that is completely okay! We value a strong growth mindset and a willingness to learn modern video trends and tools on the job.
  • Maintain Digital Platforms: Keep the church website updated with clear, accurate information, event graphics, registration links, and sermon archives. Direct the distribution of church-wide digital newsletters and email notifications.
  1. Sunday Experience & Visitor Pipelines
  • Lead Hospitality: Recruit, train, and schedule the Sunday morning Welcome Team (Greeters, Ushers, Welcome Team) to ensure an excellent front-of-house environment.
  • Oversee Pipelines: Own the data tracking and follow-up sequence for first-time guests, ensuring visitors transition smoothly from their initial connect card to mid-week follow-up.
  • Manage Logistics: Coordinate the setup of Sunday morning environments, ensuring signage, digital kiosks, and connection materials are prepared, clean, and fully operational.
  1. Back-of-House Systems & Logistics
  • Optimize Workflows: Build and manage efficient digital workflows across core church software databases, including church management software and Google Workspace.
  • Manage Databases: Oversee the security, accuracy, and updating of the church congregation database, contact directories, membership records, and attendance tracking systems.
  • Facilities Coordination: Evaluate and execute building use requests, and maintain the centralized facilities calendar.
  • Support Ministries: Provide structural, logistical, and registration setup support for major church-wide events and ministry initiatives.
