Administrative Assistant
Reports To: Lead Pastor
Status: Part-Time (24 hours per week)

The Administrative Assistant supports the Lead Pastor and church staff by providing administrative,
communication, and organizational support. This role helps ensure the smooth operation of the church
office and supports the ministries and mission of the church.
Work Schedule
● A typical workweek will be Monday through Thursday from 9am-3pm. Occasional meetings
outside of these hours may be requested with advance notice.
● Work will be done on site in the church office; occasional flexibility for working remotely may
be approved with advance notice.
Qualifications
● Willing to become a regular attender of Calvary Church.
● Maintain an active personal relationship with God through practice of spiritual disciplines
(scripture reading, prayer, worship, Sunday morning church attendance).
● Personal alignment with the doctrine, mission, vision, and values of Calvary Church.
● Exhibit emotional, mental, and relational health with peers and co-workers.
● Proficiency with standard office software (word processing, spreadsheets, email, calendars).
● Strong organizational skills and attention to detail.
● Excellent written and verbal communication skills.
● Ability to maintain confidentiality and handle sensitive information appropriately.
● Ability to manage multiple tasks, set priorities, and meet deadlines.
● Professional, courteous, and welcoming demeanor with staff, congregation, and visitors.
● Exhibit a humble, servant heart attitude in all things.
Primary Responsibilities
1. Office Administration
● Manage the church office by answering phones, responding to emails, and greeting visitors.
● Maintain office supplies and equipment; coordinate service and repairs as needed.
● Handle incoming and outgoing mail and deliveries.
● Maintain organized paper and electronic filing systems.
● Maintain and utilize church software programs such as Planning Center Online and Google
Workspace.
2. Administrative Support to the Pastor(s) and Staff
● Assist with preparation of correspondence, reports, and documents as needed.
● Help coordinate meetings (scheduling, reminders, basic setup, and materials).
● Maintain accurate and confidential records as directed.
3. Communication & Publications
● Prepare or manage the distribution of weekly bulletins, newsletters, and other printed materials.
● Assist in maintaining the church website and social media platforms with updated information,
events, and announcements (as directed).
● Send church-wide emails, reminders, and announcements as needed.
● Coordinate and update church calendars (digital and/or printed).
4. Membership & Records
● Maintain church membership records and contact information.
● Maintain church directory and contact information.
● Update and manage databases for attendance, contributions, and other relevant data (as directed).
5. Event & Ministry Support
● Assist with administrative details for church events (e.g., registrations, sign-ups,
communications).
● Support ministry leaders with basic administrative tasks as approved by the Lead Pastor.
● Coordinate building use requests and maintain facility use calendar.
6. Financial Administration (as assigned)
● Assist with basic financial recordkeeping tasks such as data entry, filing, and report preparation,
in coordination with the treasurer and/or financial secretary.
● Handle routine reimbursements and invoices as directed, following established procedures.
